What Is a Documentation Fee?
A documentation fee — commonly called a “doc fee” — is a charge assessed by a motor vehicle dealer to cover the administrative costs associated with preparing and processing the paperwork required to complete a vehicle sale. These costs include preparing the retail installment contract or purchase agreement, title application, odometer disclosure statement, and other required government and lender documents.
Ohio Law Caps the Documentation Fee at $398.00
Under Ohio Revised Code § 4517.261, a licensed motor vehicle dealer may charge a purchaser a documentation fee not to exceed $398.00 per vehicle transaction. This fee must be disclosed on the buyer’s order and itemized separately from the vehicle price.

A motor vehicle dealer may charge a purchaser a fee for processing the documents related to the sale of a motor vehicle. Such fee shall not exceed three hundred ninety eight dollars ($398.00). The fee shall be disclosed to the purchaser prior to the execution of the purchase agreement and must be itemized on the purchase agreement. The fee is not a part of the sale price of the vehicle but is a separate charge permitted by Ohio law.
What Does the Doc Fee Cover?
The documentation fee compensates the dealership for the time and resources spent on the following administrative tasks:
- Preparation of the Retail Installment Sales Contract (RISC) or cash purchase agreement
- Ohio Certificate of Title application processing
- Odometer disclosure statement preparation
- Lien release and payoff coordination documents
- Compliance verification for federal and state disclosure requirements
- Submission of titling and registration documents to the County Clerk of Courts
- Electronic filing and record retention as required by Ohio law
Is the Doc Fee Negotiable?
While Ohio law sets a maximum cap of $398.00, dealers are free to charge any amount at or below that cap. The fee is a standard part of doing business in Ohio and is charged uniformly to all customers purchasing a vehicle. Is the Doc Fee Taxable?
